Audio Visual Setup, Requirements + Restrictions

✅ Each session room will have:

  • An LCD projector and screen
  • An HDMI cord to connect your laptop to the projector
    • ⚠️If your laptop is not HDMI compatible, you will need to bring your own adapter to connect to the HDMI cable.

⛔ Session rooms will not have:

  • Laptops
  • Sound (speakers, microphones, etc.)
  • Streaming capabilities for remote participation
  • Video equipment

📋 Presenter to-do list:

  1. BRING A LAPTOP
If you plan to use a slide presentation, you must bring your own laptop and hook it up to the projector on your own.
    • UAA is unable to provide laptops for presenters.
    • ⚠️If your laptop is not HDMI compatible, you will also need to bring your own adapter to connect to the HDMI cable.
  2. SUBMIT A REQUEST FOR ADVANCED AV NEEDS (available for a fee)
If you need sound, video, or streaming options in your session room, and are willing to pay the hotel’s in-house AV provider for the additional service, please complete the Advanced AV Request Form.
    • Example fee: $750-$1,000 USD for audio setup that will allow you to play a video with sound during your presentation. UAA will contact the hotel for an exact quote for your specific request.
  3. DO NOT BRING IN YOUR OWN EQUIPMENT
    (bluetooth speakers, microphones, etc.)
    • The hotel contract strictly prohibits conference attendees from bringing external audio visual equipment into the hotel session rooms.
    • The hotel is renting the session rooms to us and requires that we only use equipment from their in-house AV provider.
    • Any use of outside equipment is a contract violation that will result in fines for UAA. UAA will be forced to recover these expenses from the presenter(s) involved in the unauthorized AV use.

Paper Panel Presentations

Paper Panels Are Created in Two Ways

  1. Individuals submit papers, which if accepted, are grouped thematically by the Conference Program Review Committee to form a panel.
  2. Organizers submit papers from 4-5 scholars, which are reviewed by the Conference Program Review Committee, and if accepted, are scheduled as pre-organized panels.

Session Time Structure & Presenter Responsibilities

Paper panels are 80 minutes long. Individual presentations are allotted 10 minutes each. Within each session, approximately 15-20 minutes should be reserved for open discussion.

  • In sessions with five speakers, each speaker is allotted 10 minutes.
  • In sessions with three or four speakers, each speaker is allocated 12 minutes.
  • It is best to plan on 10 minutes regardless of the number of speakers since last minute changes in the session could affect your allotted time.

Submissions are welcome on any topic that has urban policy or conceptual/theoretical implications within urban affairs. Presenters are grouped thematically with up to three (3) other presenters. Each presenter is allotted 5 minutes to deliver their research brief.

Roundtable Sessions

A roundtable session is an informal discussion of a topic. The discussion is led by one or more persons but open to anyone who wishes to join in and share their views. Leading a roundtable is a good way to meet people who share your interests.

Roundtable sessions are scheduled for a 60-minute period. If you are leading the discussion, plan to arrive 15 minutes prior to the start time to ensure that interested persons are greeted.
