HOW TO BECOME A SPONSOR

Step 1: Determine your budget level.
Note: Joint sponsorships (involving two units or institutions/organizations) are available for options at the $8,000-$12,000 levels.

Step 2: Review the sponsorship options to identify your choices.

Step 3: Complete one of the Sponsor Payment Forms to select your option(s).

Step 4: Make a payment for your sponsorship.

Step 5: Enjoy the acknowledgment you receive at the conference!

SPONSORSHIP OPTIONS MENU

For all levels of sponsorship, the name of your organization will be identified in the program as well as on signage in the activity space of each option. Your badge will also identify you as a sponsor. Joint sponsorship (involving two units or institutions/organizations) are available for options at the $8,000-$12,000 levels.

$500 OPTIONS

Your organization/institution/program name will be listed on the conference website with a link to the website or PDF of your choosing.

$1,000 OPTIONS

  • Networking Lounge Space
    The Networking Lounge gives attendees the ability to recharge, both personally and digitally. The lounge will be located in a high traffic area.
    • Your logo will be placed on the lounge room signage. 
    • Your name will appear in the conference app next to any reference to the lounge.

$2,000 OPTIONS

  • Welcome Snacks for Attendees
    Upon checking in at the registration desk, all attendees will be directed to a table with a variety of “grab and go” snacks. Depending on the hotel catering options, the snacks might include: chips, bars, popcorn, cookies, coffee, tea, soda/pop, etc. 
    • Your logo will be included on signage next to the welcome table.
    • Your name will be listed in the conference app next to any reference to the welcome snacks.
  • Coffee Break (Wednesday AM)
    • Your logo will be included on signage next to the coffee break area. 
    • Your name will appear in the conference app and on the general schedule next to any reference to the coffee breaks.
  • Coffee Break (Thursday AM)
  • Coffee Break (Friday AM)

$3,000 OPTIONS

  • Coffee Break (Thursday PM)
    • Your logo will be included on signage next to the coffee break area. 
    • Your name will appear in the conference app and on the general schedule next to any reference to the coffee breaks.
  • Coffee Break (Friday PM)

$4,000 OPTIONS

  • Wednesday Networking Reception (Grad Student Access)
    • This sponsorship subsidizes tickets to the Wednesday Networking Reception for 100 graduate students.
    • Your logo will be included on signage at the reception. 
    • Your name will appear in the conference app next to any reference to the reception.
  • Lanyards with Sponsor Logo
    As the conference lanyard sponsor, all attendees will exclusively wear your logo for the entirety of the conference. Lanyards must be worn during all conference sessions and networking events, making this a high-profile branding opportunity.
    • Logo requested in an .eps file for highest quality printing on lanyards.
    • This sponsorship must be committed and paid no later than April 12, 2025.
  • Wifi Services with Sponsor Logo
    Branded wifi login/splash page
    • This is one of our highest-profile branding opportunities.
    • Your logo will be displayed on the login screen for the conference wifi. 
    • Your logo will also be included on any wifi signage, and you will be identified as a Technology Sponsor for the conference. 

$5,000 OPTIONS

  • Thursday Mentoring Session + Lunch with Senior Professionals
    • Your logo will be included on signage outside the mentoring session room. 
    • Your name will appear in the conference app next to any reference to the mentoring session.

$8,000 OPTIONS

  • Thursday Networking Reception (Grad Student Access)
    • This sponsorship subsidizes tickets to the Thursday Networking Reception for 100 graduate students.
    • Your logo will be included on signage at the reception and in the conference app next to any reference to the reception.
  • Conference Mini Track 
    • This sponsorship includes 4 conference registration fee waivers valued at $2,000 USD.
    • Joint sponsorship are available when two institutions/organizations or academic units choose to combine their resources.
    • A mini track consists of 3 to 5 conference sessions on a topic chosen by the sponsor in consultation with the UAA Executive Office. 
    • Sessions: each session lasts 60-80 minutes and is scheduled concurrently with other conference sessions. A session normally has 3-5 speakers/presenters. 
    • Participant’s costs: all presenters/speakers in a track must register for the conference using the normal registration fee structure. 
    • The track sponsor can assign its registration fee waivers to any participant.
  • Pre-Conference Workshop / Symposium (Half-Day)
    • Joint sponsorship are available when two institutions/organizations or academic units choose to combine their resources.
    • Half-Day program (8 or 9am-12noon; or 1-5pm) with multiple segments, coffee break.
    • Sponsor’s fees cover space rental, A-V, and break.
    • Participant’s costs: Sponsor determines if attendees are invited, and/or must apply, and whether a participant fee is charged.
    • Workshop participants who wish to attend the conference must pay normal
      registration fees.

$10,000-12,000 OPTIONS

  • Conference Track
    • This sponsorship includes 5 conference registration fee waivers valued at $2,500 USD.
    • Joint sponsorship (totaling $10,000) are available when two institutions/organizations or academic units choose to combine their resources.
    • A full track consists of 6-10 conference sessions on a topic chosen by the sponsor in consultation with the UAA Executive Office.
    • Sessions: each session lasts 60-80 minutes and is scheduled concurrently with other conference sessions. A session normally has 3-5 speakers/presenters.
    • Participant’s costs: all presenters/speakers in a track must register for the conference using the normal registration fee structure.
    • The track sponsor can assign its registration fee waivers to any participant.
  • Friday Dinner + Cruise (Grad Student Access)
    • Joint sponsorship (totaling $12,000) are available when two institutions/organizations or academic units choose to combine their resources.
    • This sponsorship subsidizes tickets to the Friday Dinner + Cruise for 100 graduate students.
    • Your logo will be included on signage at the reception and in any marketing and outreach used to  publicize the discount to students
    • Your name will appear in the conference app next to any reference to the reception.
  • Workshop or Symposium (Full Day)
    • Joint sponsorship (totaling $12,000) are available when two institutions/organizations or academic units choose to combine their resources.
    • All-Day program (9am–4pm) with multiple segments, coffee breaks and lunch.
    • Sponsor’s fees covers space rental, A-V, breaks/meal.
    • Participant’s costs: Sponsor determines if attendees are invited, and/or must apply, and whether a participant fee is charged.
    • Workshop participants who wish to attend the conference must pay normal registration fees.

Advertising Options

Advertising may be purchased on its own or in addition to the sponsorship options above. Payments can be made using a credit card or via an institutional check.
  • Website – Rotating Banner Ad
    • Rotating banner ad (600 x 360 pixels) on the Conference home page with the ability to link out to a page on your institution’s website, a PDF, or a custom post on the UAA site.
    • Price = $1,500 USD
    • Banner images should be emailed to [email protected] by March 1, 2026.
  • Single-Sided Retractable Sign Display
    • Full-color, one-sided, 30″x80″ retractable sign that will be displayed near the conference registration area.
    • Price = $1,200
    • High resolution PDF should be emailed to [email protected] by March 1, 2026.
  • Publisher – Program Advertising 
    • Publishers submit a one-page, color ad in PDF format. UAA staff will post the PDF in the Exhibitors/Publishers section of the conference app.
    • Price = $1,500 USD
    • PDFs should be emailed to [email protected] by March 1, 2026.
  • One-page Handout
    • Submit a one-page, color ad in PDF format. Your ad will be distributed to all attendees when they check in at the Registration Desk. UAA staff will coordinate the printing of your ad with a local printer.
    • Price = $2,000 USD
    • PDFs should be emailed to [email protected] by March 1, 2026.
  • Social Media Ad
    • You design an ad, and UAA will share it across its platforms (LinkedIn, Facebook, X, and Bluesky).
    • Price = $1,000 USD
    • Image, corresponding text + links should be emailed to [email protected] by March 1, 2026.
